Summary of role

Freddie’s Flowers have an exciting opportunity for a Financial Controller to run the Finance Department across all financial aspects of the business.

The Finance Department of Freddie’s is currently made up of a Financial Controller and a Part Time Finance Assistant. Sadly our current Financial Controller is moving to Cornwall and so we are looking for a self-starter to take over the Financial Controller position. You will report directly to the Managing Director and be able to recognise where controls should be enhanced in line with the fast growth of the business and build reports to provide information and results in timely and efficient way.

This role will require a qualified accountant ideally with retail or online business experience with a vision to create an efficient and streamlined finance department to support a high growth company. For the right person, this should be a really exciting opportunity to build a finance function in a rapidly growing business with plenty of scope for further development at the business expands. This is a full time role, though we would consider a more experienced candidate on a part time basis.

Responsibilities

The role includes the management of the part time finance assistant, increasing their knowledge of Finance procedures and developing their skills to enhance both themselves and the department.

  • Month End – producing timely and accurate management accounts pack including Profit & Loss account, Balance sheet and Cashflow with commentary and variance analysis.
  • Monthly Balance Sheet Reconciliations
  • Cashflow analysis and forecasting – this is key to a growing business and will need reports to be built to provide relevant information on funding
  • Building internal controls were necessary
  • Annual Budget and Quarterly Re-forecast, including Balance Sheet and Cashflow forecasts
  • Quarterly VAT Returns
  • Good management of debtors and creditors
  • Good knowledge of systems to improve on current reporting capabilities on Xero
  • Financial support for other growing departments such as the B2B Sales
  • Management of the auto enrolment pension process
  • Year End reporting
  • Statutory Reporting requirements

Summary of role

Overall responsibility for all activity taking place in and around our packhouse and packing operation in Isleworth.

Through the packhouse team, create stunning boxes of flowers and dispatch them to our customers on time every time. Follow the brief of contents and quality provided and pack to a standard and accuracy to make sure that every customer is blown away when they open the box!

Look after the staff, facilities and the planet to include keeping everyone safe and making sure that everyone works hard while having fun. Create and implement an operational plan to meet the needs of the business, enabling our ambitious growth plans while delivering efficiency and value for money for the business.

Lead a talented team by caring, communicating well, setting high expectations and having fun.

Responsibilities

Leadership
  • Lead a growing team of around 20 staff to minimise complaints and deliver efficiency. Do this by supporting, challenging, great communication and praise.
Planning
  • Understand, own, contribute to and deliver the company plan for packing and delivery volumes and costs.
  • Plan and adjust all packhouse resources to maximise efficiencies as well as satisfy customers, regardless of packing volumes.
Reporting
  • Report informally and formally on of quality and efficiency, making sure the packhouse team get timely feedback, and those outside the packhouse can track performance.
Support
  • Plan and manage other activities to support the packing activity, including
Good-In
  • Order collation, recycling and waste are processed to minimise costs, look after the planet and delivery the best possible quality and experience for customers.
Continuous Improvement
  • When things go wrong, take corrective action immediately, but focus most effort on preventative action (so that things don’t go wrong again).
Payroll & HR
  • Utilise and administer the payroll system to make sure all staff are paid on time, accurately and fairly.
Medium Term Planning & Process development
  • Create a plan to meet the growth plans of the business over a rolling future 12 months.
  • Work with the packhouse team to create, document and share the processes used across the operation.
Hygiene, Housekeeping and Health & Safety
  • Make sure all processes include necessary actions and activities so we always have a clean, tidy and safe environment. Above all maintain the packhouse as a pleasant environment that staff can be proud of.
Scheduling, Teamwork and Relationship Building
  • Work with the Head of Buying, Managing Director and third party contractors across waste, packaging, home delivery and flower supply. Collaborate to build relationships, facilitate problem solving and develop services as the business grows.

Experience, Skills and Personal Attributes

Essential
  • A leader, able to make sensible, informed decisions in a timely manner and be excellent at listening, delegating, developing and motivating
  • Excellent problem-solving ability. Outstanding analytical skills and confidence with data
  • Plenty of initiative, enjoys work and can work independently
  • Excellent written communication, Full MS office suite ability and experience
  • Minimum 2 years’ experience managing medium sized teams (20 staff plus)
  • Naturally organised with skills to match
  • Supportive, thoughtful, articulate and a good listener
  • Lively, interesting with a firmly positive approach to life and its challenges
  • Good sense of humour, good company; warm, friendly and down to earth
  • Assertive, resilience with a mature outlook

  • Experience of managing financial budgets
  • Experience of creating operational solutions to meet changing circumstances
  • Purchasing experience (packaging and services)
  • Educated to A level equivalent or above
